Kennedy Reid is partnering with a respected private wealth business seeking a polished and proactive Reception & Office Administrator for an initial 4-5 week temporary assignment.
You will be the welcoming face of the Sydney office while providing essential administrative and office coordination support. This is an excellent opportunity for an experienced corporate receptionist or administrator who enjoys taking ownership, helping others and ensuring an office operates smoothly.
Your responsibilities
- Welcome clients and external visitors in a professional and friendly manner
- Answer and direct calls through the main office phone line
- Prepare meeting rooms before and after client appointments
- Coordinate catering and assist with internal events
- Maintain the presentation of reception, meeting rooms, the kitchen and shared office areas
- Order and manage kitchen and office supplies
- Liaise with building management and external suppliers regarding maintenance matters
- Provide general administrative support, including data entry, scanning, filing, photocopying and document preparation
- Assist with scheduling appointments and client meetings
- Provide support to the Executive Assistant and broader team as required
- Complete office errands and other ad hoc duties
To succeed in this assignment, you will ideally have:
- At least two years' experience in reception, office administration or office coordination
- Experience within financial services, wealth management or another professional services environment
- A polished, professional and service-focused approach
- Excellent written and verbal communication skills
- Strong attention to detail and accurate data-entry skills
- Confidence using Microsoft Outlook, Word, Excel and PowerPoint
- The initiative to work autonomously and manage changing priorities
- A proactive, hands-on attitude and willingness to assist wherever needed
- A high level of confidentiality, tact and discretion
- Availability to work full-time from the Sydney CBD office for the duration of the assignment
