This role requires a proactive professional who thrives on multitasking, problem-solving, and collaborating with a wide range of internal and external stakeholders.

Key Responsibilities
  • Provide comprehensive administrative support to senior executives
  • Manage complex calendars, appointments, and meeting schedules
  • Coordinate detailed travel arrangements, including flights, accommodation, and itineraries
  • Prepare and edit correspondence, presentations, reports, and documents
  • Handle confidential information with discretion
  • Process team expenses in a timely and accurate manner
  • Act as a point of contact for internal and external communications
  • Support the Office Manager in coordinating events, conferences, and business dinners
  • Assist with team offsites and staff engagement activities
  • Liaise with business partners to ensure smooth interactions
  • Collaborate with peers to support shared initiatives across the team
  • Manage front-of-office reception duties, greeting clients and guests professionally
  • Ensure meetings are set up with video conferencing, catering, and required materials
  • Provide personal administrative support for senior executives when required
  • Uphold professionalism and confidentiality at all times

About You
  • 5+ years of experience as an Executive Assistant or Administrative Partner , ideally within financial services, private equity, or funds management
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Confident working with IT systems including video conferencing and expense platforms
  • Strong problem-solving skills and attention to detail
  • Ability to anticipate needs, take initiative, and work independently
  • Professional, adaptable, and calm under pressure in a fast-paced environment
  • A collaborative team player with strong interpersonal skills and a positive outlook
