Are you an experienced Executive Assistant who thrives in a fast-paced, global environment? This is an exciting opportunity to join a high-performing team within a leading international investment business. You'll provide seamless support to a group of senior stakeholders while contributing to office administration and working closely with counterparts across APAC, the US, and Europe.
This role is ideal for someone coming from a private equity, investment management, funds, or broader financial services background. You will support 6-8 team members , coordinate extensive global travel, and play a key role in driving operational excellence across the Sydney office.
About the Role
In this multifaceted position, you will:
- Provide high-volume EA support to senior investment professionals.
- Manage complex calendars and schedule meetings across multiple time zones.
- Coordinate domestic and international travel, including itineraries, hotels, visas, and travel documentation.
- Process monthly expenses and maintain accuracy in Concur (or similar systems).
- Prepare documents, presentations, and meeting materials.
- Work closely with a Sydney counterpart to support office operations and shared front-of-house responsibilities.
- Partner with a global EA network to ensure seamless executive coverage and communication.
- Assist with general office administration such as booking meeting rooms, greeting visitors, and coordinating events.
What We're Looking For
- 6+ years' Executive Assistant experience within financial services, ideally private equity, asset management, or investment banking.
- Ability to thrive in a less structured, fast-changing environment.
- Strong organisational skills with exceptional attention to detail.
- Excellent written and verbal communication.
- High level of proficiency in the Microsoft Office Suite.
- Proven ability to manage competing deadlines and shifting priorities.
- Experience working with global teams across multiple time zones.
- Professional, solutions-focused, and able to anticipate needs.
- Must be immediately available .
- Work alongside a dynamic team within a global investment environment.
- Exposure to senior stakeholders across major international offices.
