The Role
- Coordinate complex meetings with a diverse group of internal and external stakeholders.
- Manage end-to-end international and domestic travel arrangements including foreign currency reconciliations.
- Prepare professional presentations and manage logistics for internal team offsites and conferences.
- Maintain critical organizational documents, file registers, and department-wide phone lists.
- Reconcile monthly credit card expenses for multiple Heads of Departments and their respective teams.
- Enhance and implement streamlined administrative processes and procedures across the department.
- Oversee the management of meeting notes and follow-up on outstanding action items.
- Provide comprehensive administrative support, including meeting room bookings and catering coordination.
- Extensive experience in providing administrative support to large teams and senior executives.
- Demonstrated ability to manage conflicting priorities and work effectively under pressure.
- Proven track record of handling confidential and sensitive information with absolute discretion.
- Excellent interpersonal skills with the ability to build rapport across all organizational levels.
- Strong capability in the development and review of office support systems and procedures.
- Experience managing administrative staff or coordinating tasks in a Member Domain environment.
